Conference Registration

By accessing our website and services, you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any of these terms, you are prohibited from using or accessing our services.

• Registration is confirmed only after full payment has been successfully received.
• All registration details provided by participants must be accurate and complete.
• SummiVox Meetings reserves the right to accept or decline any registration if false or misleading information is provided.

Abstract Submission

• Authors are responsible for ensuring that submitted abstracts are original and do not infringe the rights of others.
• The Scientific Committee reserves the right to accept, reject, or request revisions to any submission.
• Accepted abstracts may be published in conference proceedings, abstract books, or promotional materials unless otherwise requested by the author.

Speaker Responsibilities

• Speakers are responsible for preparing and delivering their presentations according to the conference guidelines.
• Presentation files should be submitted within the announced deadlines.

Registration Transfers

If you can’t attend the conference, you may transfer your registration to someone else up to 30 days before the event.

• The substitute participant should have a relevant background.
• All transfer requests are subject to approval by the Scientific Committee.
• Please notify the summit secretary by email to confirm the transfer.

Cancellation & Refunds

• More than 90 days before the event – 80% of the registration fee will be refunded.
• Between 60 and 90 days before the event – 50% of the registration fee will be refunded.
• Less than 60 days before the event – No refund will be provided.
• Hotel cancellations made less than 60 days before the event are not eligible for a refund.
• Cancellation service charges are the responsibility of the participant.
• Bank and transaction charges incurred during the refund process will be deducted.
• Discounted registration fees are non-refundable and will be transferred to a future event.
• All approved refunds will be processed after the conference concludes.

Intellectual Property

All conference materials, website content, logos, graphics, publications, and digital resources remain the intellectual property of SummiVox Meetings or their respective owners.

• No content may be copied, reproduced, distributed, or published without prior written permission.
• Unauthorized use of conference materials is strictly prohibited.

Photography & Recording

Official photographers and videographers may capture photographs, audio, and video recordings during the conference.

• Images and recordings may be used for conference promotions and documentation.
• Content may appear on websites, social media platforms, brochures, and event reports.
• Materials will be used solely for conference-related purposes.

Code of Conduct

SummiVox Meetings is committed to providing a safe, respectful, inclusive, and professional environment for all attendees.

• Treat all participants with respect and professionalism.
• Avoid discriminatory, offensive, or inappropriate language and behavior.
• Presentations, posters, and communications must be suitable for a diverse audience.
• Attendees must comply immediately if asked to stop inappropriate conduct.
• Violations may result in removal from the conference without refund.

Limitation of Liability

While every effort is made to ensure a successful conference experience, SummiVox Meetings shall not be responsible for personal injury, loss of property, travel disruptions, visa refusals, accommodation issues, or any indirect damages arising from participation in the event.

Third-Party Links

Our website may contain links to third-party websites for informational purposes. SummiVox Meetings does not control or assume responsibility for the content, accuracy, or privacy practices of external websites.

Governing Law

These Terms & Conditions shall be governed and interpreted in accordance with the applicable laws governing the conference organizer. Any disputes arising under these terms shall be subject to the appropriate jurisdiction.
